Event FAQ’s

DECOR

  • Can we bring in decor? Are there any restrictions? Does Pioneer provide decorations?

    • Yes, the client can bring most any decor they'd like - balloons, table settings, floral, candles, etc. We do not allow anything to be affixed to the wall in a way that may cause permanent damage (view our policies here). If a client wishes to attach something to the wall temporarily (e.g. an art installation) it must be approved with Pioneer Events prior to booking.

    • No, for the time being Pioneer does not provide floral or decor. We can provide recommendations!

LAYOUT

  • How many tables and chairs are provided?

    • We can provide chairs for up to 50 guests (a mix of seating options, not all the same chairs). The table quantities vary between spaces, but if opting for a seated event there will be enough table space for each guest. Two food and drink tables are also included. If additional tables are needed, that must be arranged with Pioneer prior to the event.

  • Will we receive a floor plan?

    • Yes! Pioneer will share a floor plan with the client based on their Event form prior to booking so that any edits can be made.

FOOD & BEV/CATERING

  • Does Pioneer have a list of recommended caterers? Can we bring in a caterer not on that list?

    • Yes! If a list of recommended caterers is desired, please note that when submitting an event quote and we will send that over along with the quote.

    • Any outside caterer can be brought in. Pioneer requires the name and contact person of the catering point person at least one week prior to the event.

  • What is the policy around alcohol?

    • We do allow alcohol to be served. A licensed bartender is required if serving hard liquor*. A banquet permit must be obtained for any event serving food or alcohol.

      *If you are working with a caterer, they can often provide a bartender!

  • What are the kitchen limitations?

    • In both Tacoma and Seattle, we provide a kitchenette. There is not an oven or stove for the caterer to use. Hot plates or chafing dishes must be brought in to keep food warm. Anything in the kitchen that belongs to Pioneer is off limits. If the caterer needs something, they will need to ask an event staff member. Same goes with the fridge. As it is used primarily for members we can not guarantee room in the fridge or ice. If there is room and the client would like to use it, that is okay with staff approval.

STAFFING

  • Will there be an event staff person there to help with the event? Will they help us set up tables?

    • Yes, there will be at least one Pioneer Event staff member working the event. Event staff will have the room set up according to the layout prior to the client’s arrival. During the event, event staff is happy to help the caterer or client with venue-related needs that may come up: table adjusting, AV troubleshooting, etc.

    • Pioneer Event Staff will not be responsible for cleaning up for the client after the event is over.

LOAD IN & LOAD OUT

  • Is load in and load out time included in the rental?

    • Load in and load out time must be included in the requested event booking time. The entire time that the client will be using the space must be applied in the total time request.

  • Can we drop things off or do any set up the day/night before?

    • This is decided on a case-by-case basis and must be discussed with Pioneer Event staff. In general, if it is a weekend event this will be okay.
